Online Express Pay
*Online Payments 2.0 includes improvements to Service Online Express Pay as well as the additional capabilities for Parts deposits and Deal Deposits to be paid online through email or text to pay. Online payments 2.0 is available in version 10.8.0 and later.
Configuration
Online Express pay does require control flag setup and dealerships need to be integrated with Elavon Converge and have Invoice Hub enabled before they can begin using this feature.
Once dealership has gone through proper setups to get an online capable mid and have enabled the control flag for online payment and Invoice Hub, they can begin setting up their online express pay.
Configuring How Online Express Pay will Look
From the Main Menu, navigate to Cash Control > Maintenance > Online Express Pay Setup
This is the configuration for Service, Parts and Sales Online Express Pay.
Upload a dealer specific logo and choose the theme color. The theme color can now be set to the exact RGB color scale settings for their manufacturer branding.
Select the magnifying glass next to theme color, and choose define custom colors to get exact color scale matching.
Service Online Express Pay Configuration
On the service tab select the notification type. This can be set to Assigned User, Department or User.
This is the setting which tells the system who will receive a notification when a payment for a service order comes in through Online Express Pay.
Set the email address that you would like online express pay emails to be send from along with the subject of the email.
A unique email header and footer can be set for service to make the message more personalized.
Parts Online Express Pay Configuration
On the Parts tab select the notification type. This can be set to Assigned User, Department or User.
This is the setting which tells the system who will receive a notification when a payment for a Parts Deposit comes in through Online Express Pay.

How to Send a Service Online Express Pay Email or Text
When creating a service order, the user should ask the customer if they would like to be notified for online payment when the services on their vehicle have been completed.
If the customer agrees, the user can ask if they would like to be notified by email or by text message.
The user will then select the notification type from the Notify dropdown in the service order header. By default, phone is selected, this means the customer would like a phone call when their vehicle is ready and they will not receive the option for online payment. If email is selected then the customer will receive an email notification for online payment, and if text is selected then the customer will receive a text message for online payment when the service order is closed.
Note: If the customer would like to be notified by email they will need a valid email address and if they would like to be notified by text they will need a valid cell phone number.
Sending an Online Payment Notification
When the work is finished on the service order, the user will close the customer portion of the SO. When the customer portion is closed it will prompt the user to send an online notification.
If the services on the vehicle are completed and you would like the customer to know they can pay online and pick up their vehicle, press yes on this prompt.
If you think there is still more work that needs to be done with the vehicle you can select no and choose to send the notification and a later time.
If you select no, the customer portion will still close but there will be no notification send to the customer.
A yellow speaker icon will show at the top of the customer portion informing the user that no notification has been sent yet. You can click on this speaker once the service order is ready and you would like to notify the customer for online payment.
How to Complete a Service Online Express Payment
Once the service on a vehicle is completed and the service order is closed, choosing yes on send notification for online payment will send an email or text to the customer.
The customer will select pay now on their email or text message. This will open up a web browser with a copy of their invoice.
Note: some android devices are not able to show PDFs in a web browser. If the PDF is not shown they can use the invoice hyperlink to download and view their invoice.
The customer will then select Pay Now. This will take them to a page where they can enter their payment information
Once the payment is complete the customer will get a confirmation number and a receipt emailed to them.
Confirming a Service Online Express Payment in PBS
When a payment for a parts deposit comes in through online express pay a notification will be sent to a user or department depending on the configuration setups.
When a customer completes their payment online a notification will pop up based on the setups in online payment setups.
The notification will tell the user which service order received payment and how much the payment was for.
The Customer Payment status column on the service order dashboard will also change from Notified to Paid, and the customer portion of the service order will be cashiered.
They Payment will automatically flow into the Online Payment till in cash control.

How to Send a Parts Online Express Pay Email or Text
Parts Deposits are integrated with Online Express Pay which allows customers to pay their deposits online through email or text message.
Within a parts invoice select the deposit button on the right-hand menu, then select deposit due.
This will bring up the Deposit screen which will either calculate a deposit or allow the user to manually enter the deposit amount in the deposit collected field.
After entering the deposit amount select collect now.
This will bring up online express pay options.
If the customer is paying their deposit online via email, select send online express pay email.
If the customer is paying their deposit online via text, select send online express pay text.
A message will pop up saying that the express pay notification was successfully sent.
How to Complete a Parts Online Express Payment
When an online express pay notification is sent to a customer they will receive either a text or email for payment. For this example, we will pay by email.
The customer will receive an email based on the configuration setups of the dealership. Select Pay now to view the invoice online.
The Pay now Button will bring them to a view of the invoice they are paying a deposit on. Select Pay now to enter card information for payment.
The Pay now button will bring them to a screen to enter their credit card details
Enter Card Details and select complete payment. This will give the customer a confirmation number for their payment
The customer will also receive an emailed copy of their receipt

The deposit can also be viewed from within the parts invoice by selecting Deposit from the right-hand menu and deposits received.

How to Send a Deal Deposit Online Express Pay Email or Text
Deal Deposits are integrated with Online Express Pay which allows customers to pay their deposits online through email or text message.
Within a Deal select the magnifying glass next to deposit on the worksheet view.
This will bring up deposit options. Select send online express pay notification.
This will bring up a window to enter the deposit amount and the notification type.
Select email to send the notification by email or text to send by text.
A popup will let the user know the notification has successfully sent.
How to Complete a Sales Deposit Online Express Payment
When an online express pay notification is sent to a customer they will receive either a text or email for payment. For this example, we will pay by email.
The customer will receive an email based on the configuration setups of the dealership. Select Pay now to view the invoice online.
The Pay now Button will bring them to a view of the invoice they are paying a deposit on. Select Pay now to enter card information for payment.
